Who we are
LinePilot provides AI receptionist software and guided setup for local service businesses. For most customer calls, the business using LinePilot is the controller of caller data and LinePilot acts as a service provider or processor.
Information we collect
We may collect account details, company profile information, email addresses, phone numbers, website URLs, business rules, routing instructions, lead form submissions, subscription records, support messages, call metadata, call transcripts, AI summaries, Telegram messages, and technical logs.
How we use it
We use this data to create and secure accounts, verify email addresses, set up the receptionist, answer and classify calls, create lead summaries, route urgent enquiries, send owner notifications, process payments, provide support, prevent abuse, and improve reliability.
Lawful basis and caller transparency
Customers are responsible for choosing the appropriate lawful basis for their use of LinePilot and for giving callers any legally required notice about AI assistance, call recording, transcription, and follow-up messaging. LinePilot supports this by keeping business rules, summaries, logs, and call settings visible in the dashboard.
AI, calls, and transcripts
Calls handled by LinePilot may be processed by AI voice and language providers to answer questions, classify urgency, create summaries, and route enquiries. Depending on customer configuration, calls may generate transcripts, lead cards, owner notifications, and operational logs.
Service providers
LinePilot may use hosting, database, email, telephony, messaging, payment, analytics, monitoring, and AI infrastructure providers. Current provider categories include cloud hosting, payment processing, telephony for calls, messaging delivery, email delivery, and AI model providers.
Retention
We keep account, billing, call, lead, message, and event data for as long as needed to provide the service, meet legal or accounting obligations, resolve disputes, and maintain security. Customers can request deletion or export of workspace data, subject to legal retention requirements.
Security
We use account authentication, encrypted credentials, HTTPS, signed service callbacks where available, database backups, and access controls. No internet service can guarantee absolute security, so customers should avoid entering unnecessary sensitive data into call scripts or messages.
Your rights
Depending on where you are located, you may have rights to access, correct, delete, restrict, or object to certain processing of personal data. Email us with the details of your request and the workspace or enquiry it relates to.
